SEPA Direct Debit

What is SEPA Direct Debit?

SEPA Direct Debit allows you to automate payments for your company invoices through direct bank account charges. This feature is available for:

  • Mobility budget invoices

  • Deutschland Ticket invoices (only if paid to Adyen)

  • Fee Invoices

Important: Only bank accounts that have been KYCed with Adyen can be used for SEPA Direct Debit. The maximum direct debit amount is 200,000 EUR.


Setting Up SEPA Direct Debit

  1. Navigate to the SEPA Direct Debit section in your admin dashboard

  2. Click on "Setup"

  3. Select which invoice type you want to set up (Mobility Invoice and/or Deutschland Ticket)

  4. Confirm the Conditions

  5. Select the IBAN you want to use for payments (Note: You can assign different bank accounts to different invoices — for example, use one account for the Mobility invoice and another for the Deutschlandticket invoice).

  6. Provide email addresses for all required signatories who need to approve the SEPA mandate


After Setup

Once you've completed the initial setup:

  • The status will show as "Pending Signature" until all required parties have signed the SEPA mandate

  • NAVIT's finance team will enable SEPA once all signatures are received

  • You'll receive a notification when SEPA is activated

  • In the Dashboard you can always check the status:


Payment Schedule

Direct debit payments are automatically processed 5 days after invoice issuance. For example, if your mobility invoice is issued on the 10th, the payment will be processed on the 15th.


Managing Your Direct Debit

Once set up, you can:

  • View scheduled payment dates (on tap “invoices”)

  • Check the IBAN being used (last 4 digits displayed)

  • Disable the direct debit if needed

  • Revoke the mandate if you want to permanently stop automatic payments


Failed Payments

If a direct debit payment fails:

  • You'll receive an email notification about the failed payment

  • Log into your dashboard to retry the payment using the "Retry" button

  • In case of chargebacks, spending may be blocked and the company account might go into a negative balance


Important Notes

  • You can set up different bank accounts for different types of invoices

  • You'll receive email notifications one day before any payment is processed

  • Only authorized team members with appropriate permissions can view and manage direct debit settings

Remember: Only Adyen KYC'd bank accounts can be used for SEPA Direct Debit. Contact your account manager if you need assistance with the KYC process.
